- | ==== Honor Roll Report ====
- | |||
- | In order to run Honor Roll lists from SASI, you need to have certain things setup first. Some of these may already be set up from a previous year.

- | === I. Credit Definitions Setup ===
- | |||
- | Credit Definitions is in the “Grade Reporting” folder, under “Grading Setup”.
- | |||
- | - Open the Credit Definitions atom. You may receive notice that certain files do not exist. Just click “Create” on these files and if it asks if you want to copy your files from last year, say yes. If it will not let you create these files, contact a SASI Administrator.
- | - Once in Credit definitions create one term – YR - and set it to "
- | |||
- | Note: If your school uses Semesters and you have block classes that end at the semester mark, add semesters in addition to Yr.. Semester 1 would get 100 at "Rpt Per 3" and Semester 2 would get 100 at "Rpt Per 6" just like "
- | |||
- | === II. Honor Rolls Setup ===
- | “Honor Roll/ | ||
- | |||
- | - Open the “Honor Roll/
- | - If you click the right/left arrows at the bottom of the screen and there are no Honor Rolls listed, you will need to create them. You will need one that says “All A’s” and one for “All A’s and B’s”. If you are missing one, continue the steps. If you already have both, skip to Step 4 and Step 8 to make sure they are accurate.
- | - Click Data at the toolbar at the top of your screen and click “Add Honor Roll”.
- | - Enter the Title at the top, such as “All A’s” or whatever you would like.
- | - Then where it says “Ineligible Marks” you will want to add all the marks that do not fall under your Report. For “All A’s” you would probably want to add – B, C, D, F, U, INC. **Note:** For Elementary, do **NOT** add your “O, S, and G” to this list. If you do and the kids receive those grades in Art, Music, or PE, then they will not show up on your honor rolls.
- | - Once you are finished with this, click Save and then OK to add new records.
- | - You will then want to setup your second Honor Roll. Go through the same process – click “Data” at the top, go to “Add Honor Roll”.
- | - Put the title at the top, such as “All A’s and B’s”.
- | - Then where it says ineligible marks, you will want to list all the marks that do not fall under your Report. In this case, All A’s And B’s you would want to add – C, D, F, U, INC.
- | - Click Save and then OK to add new records.
- | |||
- | |||
- | === III. Honor Roll Reports Setup ===
- | |||
- | - Open the “Honor Roll/
- | - Click “Honor Roll” at the toolbar at the top of your screen and click “Honor Roll Report (GHD01)”.
- | - For All A’s you will want the following setup:
- | - Click your All A Honor Roll under “Select Report”.
- | - For Mark, choose the grading period you want the honor roll for. This will probably be a “1” or “1st 6 weeks” or something like that.
- | - At the bottom of this screen you will see a “clear previous honor roll tags”. Check this box ONLY for an All A’s honor roll report.
- | - There is also an option for “Exclude student with blank marks”. This is optional. Any student who has a class with a blank grade will not be on the honor rolls.
- | - Next click the Custom tab. This screen will show you how the kids will be sorted. I would suggest making it look like the sample below.
- | - Once you are done, you can click Save to save all your choices so you don’t have to configure them every time you run Honor Roll. It will bring a window like this one below. Just choose a name for that honor roll, like All A’s, and click OK. That will put an icon on your SASI desktop called “All A’s”.
- | - Next you’ll want to go to the “Honor Roll/
- | - Click “Honor Roll” at the toolbar at the top of your screen and click “Honor Roll Report (GHD01)”.
- | - For All A’s and B’s, you will want the following setup:
- | - Click your All A’s and B’s Honor Roll under “Select Report”.
- | - For Mark, choose the grading period you want the honor roll for. This will probably be a “1” or “1st 6 weeks” or something like that.
- | - At the bottom of this screen you will see a “clear previous honor roll tags”. Do **NOT** check this for All A’s and B’s.
- | - There is also an option for “Exclude student with blank marks”. This is optional. Any student who has a class with a blank grade will not be on the honor rolls. (This is especially common in Middle schools when exploratory classes don't give grades at the same time as other classes.)
- | - Then Click on the Custom tab and configure it the same way you did for your All A’s honor roll.
- | - When you are finished, click Save and save this honor roll report with a different name, such as “All A’s and B’s” and click OK. This will then place a new atom on your SASI desktop called “All A’s and B’s”.
- | |||
- | You can now run these reports whenever you would like and all you will have to change every six weeks is the grading period on the Options screen. If you are not an Elementary school, you can skip to step V.
- | |||
- | === IV. Printing only 3rd-5th ===
- | |||
- | Most elementary schools will want to run these honor rolls for only 3rd through 5th grades. In order to do so you have two options.
- | |||
- | - When the report runs it will come up with a LOT of 1st and 2nd graders and you can just trash those papers or choose not to print those pages.
- | - You can create a filter that will only show you the 3rd through 5th graders for the time being so when you run your report; it will not print out the 1st through 2nd. Here are the instructions for using a filter.
- | |||
- | == Filtering so only 3rd, 4th, and 5th graders show ==
- | - The first thing we will want to do is create our filter. In the Utilities folder, open the “Query” atom.
- | - For the type of query choose “Filter” and then you can copy and paste the following query from this document into the query box. (Copy Only the part after ASTU) KEEP ASTU Status IF Grade IN [03..05]
- | - Your Query should now look like this:
- | - Click the “Save Filter” button and name it something like “Keep 3rd-5th”.
- | - It will automatically add this filter to your “System Filter” folder.
- | |||
- | |||
- | === V. Running Honor Roll Reports ===
- | |||
- | - Add your filter, if needed.
- | - Double-click on your All A’s. **ALWAYS** run All A’s First. Run and print this report.
- | - Double-click on your All A’s and B’s. Run and print this report.
- | - Once you are done, take your filter out, if you used one. At the bottom right of your SASI Desktop is a “System Filter” folder.
- | - Double-click on that to open it and drag any and all filters to your desktop. When you want to use a filter again, drag it back into the folder.
- | |||
- | Don’t forget to take the filter out!
- | |||
- | === VI. Tracking Honor Roll ===
- | |||
- | |||
- | If you wish to track students who make the honor roll every 6 weeks you MUST contact the SASIxp administrator once you have ran the Honor Roll Reports each 6 weeks so they can run a special query at your school. At the end of the year run the following query to extract that list:
- | |||
- | DISPLAY | ||
- | |||
- | Note: This query will only tell you that a student made the honor roll every 6 weeks. It will NOT tell you WHICH honor roll they made or if they made honor roll the last six weeks.
- | |||
- | If you want to know who made a specific honor roll all year, like All A’s – keep your honor roll printouts so you can compare them at the end of the year. Make sure to note any changes after they are printed.
