Direct Database Export

Direct Database Export (DDE) is one of the most versatile functions of your PowerSchool system. Use DDE to search and match data in all of the internal tables on your PowerSchool server.

Note: Depending on your security settings, you may not be able to perform all functions.

PowerSchool data is stored in a relational database of tables. Each table contains an unlimited number of fields. When you use DDE, you directly access a table in the relational database.

Use PowerSchool's Direct Database Export (DDE) page when you need to create an export file or report that contains records from the tables. Use another application, such as a spreadsheet application, to view or organize the records. Unlike using the Export Using Template page, you can match and export data from two related tables.

When you export data from DDE, the system creates an independent export file that you can open or update using any application you want. For example, assume you want to export all ninth graders and their current grades to a software application in which you can create a pie graph. Use the DDE function to match the records in the student table to the current grades table; then, export both tables of data, open the export file in a spreadsheet application, and create the graph.

Follow these generalized steps for using the different functions of DDE.

Overview

  • List View: Provides an organized list of the current records in selection
  • Table View: Provides an organized table of the current records in selection
  • Table View Setup: Preferences for the view in table view

Match Selections

Note: Before you attempt a Match Selection make sure the tables have a valid relationship.

  1- From your start page click System under Setup
  2- Click Direct Database Export (DDE) under Data Management 
  3- Select the table for which you would like to search for records
  4- Make a selection of records in the first table you would like to match
  5- Use the filters to drill down to the exact set of records
  6- In the current table switch to the second table you would like to match
  7- Click the button for Select all xxxx records in this table
  8- Click the link for Match Selection
  9- In the drop down select the original table from step 1
 10- Click Proceed to match
 11- Now your current record selection will be matched based on the criteria of the original search

Exporting Records

 1- From your start page click System under Setup
 2- Click Direct Database Export (DDE) under Data Management
 3- Select the table for which you would like to search for records
 4- Use the Search boxes to filter your records
 5- Use either the table or list view to verify that your selection of records is correct
 6- Click the link to Export Records
 7- Use the drop down to select fields from the table you are currently in
 8- In the box use the [Table name or Number] Field Name method to pull fields 
 9- Fill out all other desired options for export on the Export Records page such as Field and Record Delimiter
10- Click Submit to begin the export
