Graduates

There are several situations for a high school student to be considered a graduate. Each case is handled slightly differently.

On-Target Seniors

Throughout the year: On the State/Province - VA page (General and Transcript tabs), review these fields for exiting graduates:

  • Add the Graduation Plan Code
  • Confirm the Grad/Other Completer Code
  • Confirm the Graduation Date
  • Add the Diploma Type
  • Define the Graduation Requirement Set on Graduation Progress page
  • Ensure the grade level is set to 12 to include the student in the class rank, state reports and transcripts

Toward the end of the school year:

  • Send a request to have the SIS Technician mass populate the graduation fields for all on-target seniors.

  • VA_Grad_Date = Graduation Date on Transcript tab of the State/Province - VA page
  • VA_DiplomaType = Diploma Type on Transcript tab of the State/Province - VA page

Early Graduates

An early graduate might be an underclassman who has graduated early, or a senior who graduated earlier in the school year (due to obtaining their GED or meeting all graduation requirments).

The student should be transferred out if they have met all requirements and are no longer taking any classes. The SIS Technician will manually graduate them in PowerSchool, by setting the grade_level to 99 and moving them to the graduate school after the End-of-Year processes.

To find the early graduates during the school year, search on
/entrydate>=8/10/15;exitcode#;VA_Grad_date#
or
/VA_Grad_Date#;grade_level#99

  • Manually insert the graduation date, and add the other graduation information.
  • Please record your early graduates as 12th graders when they graduate on the Transfer Info (Edit Current Enrollment) page
    • Change the Grade Level to 12.

If the students' grade levels are not updated before the end of the school year, they will be missed on the SRC state reports, not moved to the Graduated School during the EOY Process and not included when running the transcripts for the graduating class.

Please remember that grades are not stored for inactive students. With that being said, if a student graduated and was withdrawn before the end of the school year their grades would not have been recorded in Historical Grades. This includes early graduates from each high school, alternative placement students, and GED students (who may have been enrolled in another class such as Economics and Personal Finance or Carpentry).

If you find that a graduated student's grades for a class (other than the GED course) aren't showing in Historical Grades you will need to manually add them. For early grads from your school, please coordinate with your teachers. For GED/Alternative Placement graduates who have already been withdrawn and transferred back to your school please coordinate with the APS counselor and/or the CTE teachers.

Returning Seniors (including Special Ed and GED)

Returning seniors might include several different scenarios:

  1. Seniors who will be taking summer school to earn their diploma
  2. Seniors who's IEP allows them to return next year
  3. Seniors who did not pass and will be returning next school year
  4. Seniors that earned their GED but have elected to return to school to take more classes

At the end of the school year, if any of the seniors are not graduating, please update these fields:

  • Remove the Graduation Date on the Transcript tab of the State/Province - VA page
  • Remove the Diploma Type on the Transcript tab of the State/Province - VA page
  • Remove the Graduation Plan Code on the Transcript tab of the State/Province - VA page
  • Mark them as Retained=Yes on the State/Province - VA page
  • Add the name to the list of seniors in danger and send to the SIS Technician responsible for the SRC for review. This list is required for the EoY SRC, Summer SRC and Fall SRC to ensure they are reported accurately.

If any seniors are required to attend summer school, follow the steps outlined in the Summer School section below.

Over the summer, the SIS Technician will sent out email communications to indicate the End-of-Year processes have been completed.

Once the End-of-Year SRC is completed but BEFORE the End-Of-Year Process is run in late June / early July, update the scheduling setup page for all of the returning students for the next year.

  • Next Year Grade (99 is for Graduated Students)
  • Schedule This Student checkbox
  • Year of Graduation
  • Next School Indicator (stay in Home School or move to Graduated Students)
  • Update

After the End-Of-Year Process is complete, confirm the returning students are scheduled properly.

After the Summer SRC, update the Grad/Other Completer Code. The returning graduate fields are needed for the Fall SRC.

For a GED graduate returning to take more classes: On the Transfer Info - Edit Current Enrollment page, change the Grad/Other Completer Code to a 13, and remove the GED Program Code.

For a Special Ed graduate returning to take more classes: After the End-of-Year SRC is completed, setup the returning graduates for the next year. On the Transfer Info - Edit Current Enrollment page, change the Grad/Other Completer Code to a 10 or 13.

Summer Graduates

After the school year has ended, update the records for the summer school students:

  • Mark Retained = Yes on the State/Province - VA page
  • Remove the graduate fields until they actually qualify for graduation:
    • Graduation Date
    • Diploma Type
    • Graduation Plan Code
  • Send the updated list of graduates in jeopardy to the SIS Technician responsible for the EoY SRC and the Summer SRC reports.

Once summer school has ended and BEFORE the Summer SRC, each school has the responsibility to manually enter the summer school Historical Grades and set the Summer School flag as Yes for each stored grade.

If the previously retained seniors satisfy the requirements for graduation during summer school, update the PowerSchool record after the End-of-Year SRC is completed and BEFORE the Summer SRC is submitted.

  • Add the Graduation Date
  • Add the Diploma Type
  • Add the Graduation Plan Code
  • Confirm the Grad/Other Completer Code
  • Add the summer school stored grades with the Summer School flag set
  • Update the Scheduling Setup page to ensure they will receive a schedule for the fall term BEFORE the End-Of-Year Process is run in late June / early July.
  • Next Year Grade (99 is for Graduated Students)
  • Schedule This Student checkbox
  • Year of Graduation
  • Next School Indicator (stay in Home School or move to Graduated Students)
  • Send the updated list of graduates to the SIS Technician responsible for the Summer SRC and Fall SRC reports

Alumni

From time to time, a Report List of Graduates is needed.

The alumni transcript might be requested for a graduated student. If the student attended WCS prior to 2008, contact the SIS Specialist for assistance. The transcripts are requested and distributed through Parchment used for Sending Transcripts.
