We have students attending our schools while living in a neighboring school zone or district (including out of state) each year. To keep track of these students, several fields within PowerSchool need to be updated in real time. Please use these instructions to flag these students and to run a list periodically throughout the school year to check for accuracy.
OUT OF ZONE (living in Washington County but approved to attend a school in another neighborhood within Washington County)
Use this search in PowerSchool to get a list of students currently flagged as "Permission to Attend from Within District" and adjust accordingly: perm_attend#
Example: If you need to know the K-3rd graders out of your school zone, use this search:
Grade >= 0;Grade ⇐ 3;perm_attend#
OUT OF DISTRICT (living in a different school district (even out of state), but approved to attend WCS)
Use this search in PowerSchool to get a list of students currently flagged as "Permission to Attend from Out of District" and adjust accordingly: perm_attendOOD#
Example: If you need to know the K-3rd graders out of your school zone, use this search:
Grade >= 0;Grade ⇐ 3;perm_attendOOD#
For all students OUT OF DISTRICT,
Note: Enrollment and attendance people in Damascus: DMS asked a good question earlier in the school year about whether or not we should be flagging the "Permission to attend from Out of District" for the Johnson County, TN students whose address falls within the boundaries of the contract. In the past, we have marked them. However, we have been asked not to mark them beginning in 2025 since they are being bussed by us. If you have any questions, let Jennifer know.
When a student is living in a neighboring state while attending WCS, they are considered OUT OF STATE. The responsible division and responsible school need to be changed. A new enrollment record is also needed.
Note that if a student at your school moves to/from another state (TN) while still attending your school a new line of enrollment must be created. Refer to this wiki for specific details on doing this, making sure all appropriate fields are completed: http://wiki.wcs.k12.va.us/powerschool/powerschool/statetransfers
Same as OUT OF DISTRICT,
Good morning enrollment clerks!
It has been brought to my attention that out of zone students are being flagged in different places in PowerSchool. All out of zone students who have permission to attend a Washington County School should be flagged on the following student page. If you wish to include a note in one of the alert fields you may do so but you MUST check the "Permission to Attend" box as well.
More > Important Custom Fields > Permission to Attend
This includes students who reside within WCS but out of your school's zone. If you haven't already done so, please make sure all out of zone students are flagged on the Important Custom Fields page. It is particularly important that they are marked appropriately so at the beginning of a new school year the receiving school is aware of their status so they know to follow up and adjust accordingly.
Also, be reminded that students who live in Washington County and are attending a school out of their attendance zone only have to request permission one time. Please do not ask parents of in-County students to submit another request.
Thanks, Jennifer Jennifer Rhea, SIS Specialist Washington County Schools
* For those of you that prefer the alert icon showing for Out of Zone students, you can add "Out of Zone" or "Out of District" to your Other Alert Text box on the Other Info page to show the icon for attendance.
* Once completed, this search should show the same list of students: alert_other contains out
The Level Data address verification only checks to see if the address is valid via the USPS. Grab the address from the pending pre-registration form and search for it on the Washington County GIS or Bristol City GIS websites. It gives the school zone information for each address.
